The Requirement Nobody Warns You About
Most visas depend only on your documents. India's Conference Visa is different: the event itself must be cleared by the Indian government before delegates can get visas. Per official guidance, a Conference Visa is granted on production of:
- An invitation letter from the organiser(s)
- A copy of the Ministry of Home Affairs (Foreigners Division) clearance for holding the conference
- A copy of the Ministry of External Affairs political clearance communication
If the organiser hasn't secured items 2 and 3, no amount of personal paperwork gets a delegate a Conference Visa. That's why the smart first question isn't "what documents do I need?" — it's "organiser, do you have your MHA and MEA clearances?"
Organiser Deadlines (Why Late Events Scramble)
Event clearance runs through the MHA's conference portal, with lead-time rules:
- Government-affiliated organisers must submit event details at least 30 days before the event
- Private organisers must submit at least 60 days before
Additionally, prior MHA approval is specifically required when participants include nationals of certain countries (including Afghanistan, Pakistan, Iraq, Sudan, foreigners of Pakistani origin, or stateless persons) or when the event involves Restricted/Protected areas, J&K, or most North-Eastern states. International organisers partnering with an Indian host should put these dates in the project plan on day one.
What Delegates Need
With the event cleared, the delegate's side is conventional:
- Passport valid at least six months at application, with two blank pages
- The organiser's invitation letter (naming you)
- Copies of the event's MHA and MEA clearances (organisers circulate these)
- Standard application items — compliant photo, form, fee

Attending a private company's internal event, exploring deals on the sidelines, or combining meetings across cities? A Business Visa may fit better — no event-clearance dependency, multiple entry, broader activities.
