Why Document Preparation is Critical
In the world of visa applications, documentation is everything. An incomplete document package is one of the primary reasons Indian visa applications are rejected. Unlike some countries where authorities will request additional documents, Indian consulates often simply reject applications that do not meet their requirements.
This guide provides a comprehensive checklist of all documents required for an Indian Business Visa, along with guidance on how to prepare each one correctly.
The Core Document Checklist
1. Passport
What: Your original passport
Requirements:
- Valid for at least 6 months beyond your intended return date from India
- At least 2 blank pages available for visa stamps
- Not damaged, mutilated, or with missing pages
- If you have previous passports containing Indian visas or travel history, bring them too
2. Visa Application Form
What: Completed Indian Business Visa application form
Requirements:
- Must be completed online through the Indian visa application portal
- Print and sign the completed form
- All fields must be filled accurately
- Photo must be uploaded meeting specifications
Common mistakes: Leaving fields blank, inconsistent spelling of name, incorrect date format, not disclosing previous rejections.
3. Passport-Size Photographs
What: Recent photographs
Requirements:
- Typically 2 recent photographs required
- White background
- Face clearly visible, no glasses (check specific consulate requirements)
- Print size usually 51mm x 51mm
- Not older than 6 months
4. Invitation Letter from Indian Company
What: Letter from the company you will be visiting in India
Requirements:
- On the company's official letterhead
- Should include company name, address, registration details, and contact information
- Must specify: purpose of your visit, proposed dates, names of contacts you will meet
- Must be signed by an authorized company official (with name, designation, and seal)
- Should include a statement that the Indian company takes responsibility for your conduct during the visit
This is one of the most important documents — spend time getting it right.
5. Introduction Letter from Your Employer/Company
What: Letter from your company (outside India) introducing you
Requirements:
- On your company's official letterhead
- Must introduce you by name, designation, and years of service
- Must clearly state the business purpose of your visit to India
- Must confirm you will return to your position after the visit
- Must confirm your company will bear the costs of your visit
- Signed by an authorized person in your company
If you are self-employed: Provide company registration documents and a self-written declaration on your business letterhead.
6. Bank Statements
What: Proof of financial means
Requirements:
- Last 3–6 months of bank statements (personal and/or business)
- Must show a comfortable balance sufficient to cover your stay
- Account must be in your name
- If the account is a joint account, this should be noted
If your company is sponsoring the trip: Provide company bank statements AND a sponsorship letter.
7. Flight Itinerary
What: Proof of intended travel
Requirements:
- Confirmed (or at minimum, tentatively booked) onward and return flights
- Must show your planned entry and exit dates
- Should be consistent with your requested visa validity period
Note: Many consulates accept travel agency booking printouts — actual tickets are not always required at the application stage.
8. Hotel Booking / Accommodation Proof
What: Proof of where you will stay in India
Requirements:
- Hotel reservation confirmation with your name, dates, and address in India
- Alternatively, a letter from your host in India stating they will provide accommodation
9. Proof of Occupation / Employment
What: Confirming who you work for
Requirements:
- Employment letter (covered above) serves this purpose
- If self-employed: Business registration certificate, trade license, or equivalent
Additional Documents (Recommended)
While not always mandatory, these additional documents strengthen your application:
Business Card
A simple, professional business card confirming your name, company, and designation.
Company Profile / Website Screenshot
Evidence of your company's legitimacy — a company profile brochure or a printed screenshot of your company's website.
Previous India Visit Documents
If you have previously visited India, copies of prior visas and travel records demonstrate a positive immigration history.
Travel History Evidence
Copies of visas to established countries (USA, UK, Schengen area, Japan, etc.) demonstrate that you are a responsible traveler with a track record of compliance.
Annual Report or Audited Accounts
For higher-value or long-stay Business Visa applications, providing evidence of your company's financial standing (annual report, audited accounts) demonstrates the legitimacy of your business.
For Business e-Visa Applications
If applying for an Indian e-Business Visa, the process is done entirely online:
- Upload scanned copy of passport bio-data page
- Upload photograph (as specified)
- Provide details of invitation letter (may not need to upload the actual letter — check current requirements)
- Pay visa fee online
Eligibility for e-Visa varies by nationality. Check the current list of eligible countries on the official Indian e-Visa portal.
Document Format Requirements
- Scans: High-resolution, clear scans (for online applications). 300 DPI minimum.
- Translations: Documents not in English must be accompanied by certified English translations.
- Attestation/Apostille: Generally not required for Business Visa documents, but verify for your specific nationality.
- Notarization: Not typically required for Business Visa documents in most cases.
Common Document Mistakes to Avoid
- Submitting expired documents — Check dates on all documents.
- Mismatched information — Ensure names, dates, and details are consistent across all documents.
- Poor quality scans or photocopies — Ensure all copies are clear and legible.
- Missing signatures or company seals — Business letters must have appropriate authorizations.
- Too-old photographs — Use photographs taken within the last 6 months.
- Vague invitation letter — Be specific about the purpose, people you will meet, and duration.
